Common questions

How is the break-even care plan price calculated?
Break-even price is your total monthly cost per site — labour cost plus software cost plus incident allowance, all divided across your managed sites — the price at which a site covers its own delivery cost with zero margin. Anything you charge above that is contribution.
What counts as "labour minutes per site"?
Everything it actually takes to deliver the care plan for one site in an average month — applying updates, checking the site after changes, handling exceptions, and building or reviewing the client report. Most agencies underestimate this because it's rarely tracked directly; timing a few real sites for a week is more accurate than guessing.
Should every site in my inventory be on a paid care plan?
No. Only count sites that are actually on a paid care plan in the "number of managed sites" input. Sites you host or monitor for free shouldn't be included in a profitability calculation — they belong in a separate monitoring-only tier.
Is this calculator's output a guaranteed outcome?
